FermiMail: Shared Mailbox in Outlook and Webmail

 

Intended for:

Users who need to access a shared mailbox.

 


Scenario/Use case:

This article provides instructions on how to access a shared mailbox using Outlook and Webmail.

 


Instructions:


Outlook on Windows

  1. On the menu, select File.



  2. Select Account Settings and then Account Settings again.



  3. Click Change…



  4. Click More Settings.



  5. In the Microsoft Exchange window, click the "Advanced" tab and then click Add…



  6. Enter the email address of the shared email and then click OK.



  7. Click OK.



  8. Click Next.



  9. Click Done.



  10. Click Closed.

 


Outlook on macOS

To open a shared mailbox in your Outlook desktop client on a Mac computer, go to File > Open > Shared Mailbox

 

Opening a shared mailbox using Webmail

  1. Navigate your web browser to https://email.fnal.gov.
  2. Login with your Services account, password, and then click Sign On.


  3. For this step, there are two paths that may be presented to you:
    • Yubikey - If you have a Yubikey and it is plugged into your computer, you will be presented with a prompt to select your Yubikey certificate. Select the "FERMI Sub CA" certificate and click "OK". You then be presented with the Smart Card window where you enter your Yubikey PIN and click "OK". NOTE: If you do not want to use your Yubikey, click "Cancel" and you will be guided through the RSA process below.


    • RSA - If you do not want to use your Yubikey or do not have a Yubikey, you will be prompted to provide an RSA passcode as part of the "Two-Factor Authentication" requirement. Enter your passcode and click "OK". If you are unsure how to generate your passcode, please review "How to use RSA hardware token to generate a passcode" or "How to install and use RSA soft token to generate a passcode".


  4. In the upper right corner of Outlook Webmail window, click on your user icon.


  5. Click Open another mailbox.


  6. Enter the email address of the shared email and then click Open.
